Job Position and Business line: Office Manager/Executive Assistant to Country Manager

Type of Contract: Contract (6 months)

The Role: To provide high quality and value-adding administrative support. The Executive Assistant is expected to be able to make informed administrative decisions on behalf of the Country Manager and independently prioritize tasks based on understanding of business priorities. The role liaises with other key external and internal stakeholders. A high level of integrity, discretion and confidentiality is required for the role.

Key Responsibilities

  • Schedule meetings, manage logistics and ensure provision of information and briefing is received in a timely manner prior to meetings.
  • Maintain up-to-date and accurate minutes of meetings and progress status of the action items
  • Ensure that all emails are actively monitored and followed up
  • Produce reports, correspondence, presentations, spread sheets in a timely and accurate manner.
  • Travel coordination, Organizational Resources, Human Resources
  • Coordination of internal and external meetings/workshops/engagements
  • Liaise with internal functions to ensure execution of assigned tasks
  • Preparation and editing of internal and external correspondence and reports
  • Business information management

Selection Criteria

  • Minimum Graduate in any discipline
  • Minimum 6 years of relevant experience in handling a similar / same role and complexity preferably in a multinational environment
  • Experience of working with multiple stakeholders out of which at least one of them was holding a senior role in the organization
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • Knowledge of standard office administrative practices and procedures
  • Excellent communication; written and verbal skills in English.
